Quick guide to each tab. Tabs you cannot access are hidden from the navigation bar based on your role.
Inventory
All usersBrowse serialized inventory for a selected branch. Filter, sort, and export what is on hand. This is the default landing tab.
- Select a branch, or All, to load serial-level rows (part number, category, serial #, customer, invoice #, PO #, dates, value, sub-office, etc.).
- All shows inventory from every branch in one list (use the Branch column filter to narrow).
- Column filters and sorting help narrow large lists.
- Bulk edit (checkboxes): Admins, Accountants, and Branch Managers can set invoice # on selected rows. Admins can also bulk-update cost (current value), purchase price, date received, and customer.
- Inline edits (where your role allows): serial #, customer, date received (Admins), cost / current value (Admins only), and purchase price (Admins only).
- Export options (where your role allows) for reporting. Monthly receive/sold and branch reports require a single branch, not All.
Summary
All usersHigh-level view of inventory value and quantities across the organization or a single branch.
- Overview - totals and value by branch, including last working month's frozen inventory value next to the current total.
- Part# - summary grouped by part number across branches.
- Branch View - pick a branch to see its on-hand inventory snapshot (similar to the Inventory tab).
Receive
All users (branch access applies)Record new inventory arriving at a branch - one serial number per line.
- Pick branch and sub-office (if configured), then part number, source (vendor), category, manufacturer, PO, invoice, unit cost, and serial numbers.
- Typeahead fields filter together: choosing a part number limits vendor and category options to valid combinations.
- Items with multiple vendors show all linked sources in the vendor list, not only the preferred one.
- New part numbers must be created on Manage Items and approved before they appear here.
- The banner shows the current working month (days 1-7 of a month count as the prior month).
- Bulk Import (Admins / Branch Managers): download a template or upload CSV/Excel. transaction_type may be RECEIVE, SELL, or UPDATE.
- RECEIVE / SELL - post new transactions (unit_cost required).
- UPDATE - patch an existing serial’s receive record. Fill only the fields to change: invoice_number, po_number, vendor_number, customer, transaction_date, and/or date_received. Blank cells leave values unchanged. unit_cost / purchase price on UPDATE rows are ignored and cannot be changed via bulk import.
Delete
All users (branch access applies)Remove inventory from a branch when equipment is sold, scrapped, or otherwise leaves stock. (The tab is labeled Delete; it records a SELL transaction.)
- Select branch, part number, customer, invoice, and serial numbers to delete from inventory.
- Serial numbers must already exist at that branch.
Corrections
Admins and Branch ManagersFix invoice number and customer on past Receive and Delete (sell) transactions without re-posting inventory. Prefer Inventory bulk invoice edit when correcting many on-hand items at once.
- Load transactions for a branch and date range.
- Edit invoice or customer on individual rows and save each change.
- Branch Managers only see branches they are assigned to.
Transfer
Admins, Accountants, and Branch ManagersMove serial numbers from one branch to another.
- Choose source branch, destination branch, part number, and serial numbers.
- Branch Managers may transfer only between branches they are assigned to (at least two required).
Sub-Offices
Admins, Accountants, and Branch ManagersDefine sub-locations within a branch (e.g. stock room vs. install bay) and assign serials to them.
- Create, rename, or remove sub-offices for a branch.
- Set a default sub-office used when receiving inventory.
- Assign or reassign serial numbers to sub-offices from the inventory list (where available).
Manage Items
All usersCreate or update the master list of part numbers (item types), categories, manufacturers, and vendors.
- Create or Update Item - part number, category, manufacturer, and one or more vendors (mark one preferred).
- New items start as PENDING until an admin approves them on the Admin tab.
- Resubmitting a rejected item with corrections sets it back to PENDING.
- Edit Existing Items (admin) - load and edit approved items in bulk.
- Create New Vendor (admin) - add a vendor name to the vendors table.
Best Price Lookup
All usersSearch historical pricing from imported invoices.
- Part-number search and price history from imported invoice data.
Adjust Values
Admins and AccountantsUpdate the current book value of serialized inventory. Admins can also edit Cost (current value) inline on the Inventory tab. Purchase cost is not changed here (Admins can still correct purchase price on the Inventory tab).
- Filter and sort serials, then edit current value per row or in bulk.
- Other serial fields (serial number, customer, date received) may be editable where exposed.
Admin
Admins onlyUser provisioning, item approvals, vendor setup, write-downs, and consolidating duplicates.
- Load Users - set status (ACTIVE / PENDING / DISABLED), role, and branch assignments. Search and paginate the user list when it grows long.
- Review Pending Items - approve or reject new part numbers submitted from Manage Items.
- Write-Down Tool - load inventory, choose an age range (days since date received) and a write-down percent. Each affected serial is set to the remaining percent of its purchase price (e.g. 33% write-down → 67% of purchase; 66% → 33%). Preview counts and dollar impact, then confirm before applying. Purchase cost unchanged; floor is $0.01.
- Create New Vendor - add vendor names used when assigning items.
- Consolidate Duplicate Items - move serials/transactions from a mistaken duplicate part onto the keep part, then delete the duplicate.
- Consolidate Duplicate Vendors - merge a duplicate vendor into the keep vendor (item links + invoices), then delete the duplicate.
